If you'd like to send an e-mail message to many of your clients at once, you can use the Export button found in several places in TaxSlayer Pro to create a comma-separated list of e-mail addresses suitable for copying and pasting into a new e-mail message's "Bcc" (blind carbon copy) field. (This list can also be pasted into either the "To" or "Cc" fields, but then all of the recipients would be able to see every address, so for the sake of confidentiality it's best to use the Bcc field.)
There are three lists of clients you can export for this purpose:
- Call/Thank You List or Prior Year Client List under Client Retention - See here.
- Client List - See below.
How to send an e-mail to everyone in the Client List
1. From the Quick Menu of TaxSlayer Pro select:
- Reports
- Client Reports
2. Scroll to the bottom of the list of filters and click the last check box, and in the drop down menu choose Export to Microsoft Excel File:
The last filter check box filters on all clients.
3. Click View. You'll be asked to confirm that you'd like to print the report. Click YES:
4. Click Taxpayer E-mail Address. You can click Spouse E-mail Address if you'd like the spouse to also receive an e-mail:
5. Click Ok in the "Sort By" window:
6. A Windows File Explorer window will open to save a comma-separated file named ClientReports.csv. You can change the name if you wish or keep it. Take note of the directory it is saving to and if you wish change to a different directory or the Desktop. When you're ready to save the file, click Save.
7. Locate the csv file where you saved it, right-click it, choose Open with, then Notepad:
8. The file that opens in Notepad may include lines that have only a comma on them, no e-mail address, but this isn't a problem. Select the first line in the file - "T/P E-MAIL," - and delete it:
9. Right-click in the Notepad window and choose Select All:
10. Right-click in the Notepad window and choose Copy:
11. Open your e-mail program and paste the list of addresses into the Bcc field of a new message.
For example, if you use Gmail in your web browser, after clicking the Compose button click the Bcc button at the top right of the composition window to reveal the Bcc field:
12. Right-click the Bcc field and choose Paste:
The addresses will be pasted into the Bcc field:
You can proceed with the rest of the e-mail, entering the subject and message body. If you wish, you can enter your own e-mail address in the To field.
