TaxSlayer Pro Premium offers the ability to e-mail an encrypted, password-protected PDF copy your client's tax return to them using PaperCut.
Before you can e-mail a copy of the tax return, it must have been saved to PaperCut. Saving a PDF copy of the return can be conveniently done from any of up to three places, as configured in Premium Options:
- In the return under the View Results menu, select either (a) one of the options under "Print Return" or (b) a custom-built printing under "Print Selected Forms/States". The prompt, "Do You Wish to Print the Return to PDF?" is for PaperCut, so answer Yes when prompted.
- When exiting a return that's been marked complete, answer Yes to the prompt "Do You Wish to Save the Return to Papercut?", then select the desired print option.
- When exiting the return and marking it complete, answer Yes to the prompt "Do You Wish to Save the Return to Papercut?", then select the desired print option.
Alternatively, you can add a PDF copy of the return directly to PaperCut for a taxpayer under the Tax Returns menu.
If the you've entered the taxpayer's e-mail address in the Name & Address menu in the return, it will prefill the "To" field in the e-mail composition window.
E-mailing a tax return in PaperCut
To e-mail a tax return from PaperCut, from any menu in TaxSlayer Pro:
- Select the PaperCut
icon at the top of the TaxSlayer Pro window.
- In the left side menu select E-Mail then Compose.
- Locate the client you'd like to e-mail. If you have many clients, the easiest way to find them is to use the search field at the top right. You can enter, for example, part of their name or the last four digits of their SSN/EIN. When you locate the client you'd like to e-mail, double-click them to open the e-mail composition window.
- Complete the fields in the e-mail composition window as needed:
- To: The e-mail address pulled from the Name & Address menu in the return if it's there, otherwise you can enter it.
- From: Your e-mail address as entered in Premium Configuration. You can change it if you'd like.
- File Attachment - Click the dropdown menu and choose the file you want to send. Two attachments can be added. Return filenames include the date and time printed. If you don't see a file to attach, one hasn't been saved to PaperCut for this taxpayer.
- ZIP File Name: PaperCut automatically assigns the filename as 20xx Tax Information, where xx is the two-digit year. You can change this if you'd like.
- Encryption Password - Assign a password to encrypt the file being sent. The password must contain at least 8 characters and must contain at least one of each of these: an uppercase letter, a lowercase letter, a digit, and one these four special characters: !@%$ . Consider assigning a unique password to every return you transmit.
- Subject: Change if desired.
- Message: Add a message if desired.
When you are ready to send the e-mail, select Send. After sending the e-mail, you'll need to communicate the password to the taxpayer separately.
In Premium configuration, if you have configured PaperCut e-mail to send e-mail indirectly through TaxSlayer Pro, the e-mail will be transmitted to the taxpayer through our secure servers and will be from TaxStatusNow. If you have configured PaperCut e-mail to use SMTP, the e-mail will come from you.
Seeing who you've e-mailed
To see who you've e-mailed, in PaperCut select E-Mail then Sent Email.
