To enter or edit a Form W-2 in TaxSlayer Pro, from the Main Menu of the Tax Return (Form 1040) select:
- Income
- Wages, Salaries, Tips (W-2)
- New or double-click the entry you wish to Edit
The Form W-2 entry window is designed to resemble a paper W-2. The boxes in the window generally match the boxes on the paper W-2.
Entering a new W-2
If this is a Married Filling Joint return, select whether the Form W-2 was issued to the Taxpayer or Spouse.
Enter the EIN from the W-2 along with the Employer's Name, Address, and Zip Code. The City and State will fill in automatically. If the Employer has a Foreign Address, click the check box located to the right of Box C - Employer Name/Address. After checking the Foreign Address check box, the address entry fields will change to accommodate a foreign address.
Box D - Control Number - The control number uniquely identifies your W-2 Form from your employer’s records. This number is usually assigned by your employer’s payroll processing software. The control number is not a mandatory requirement and some employers or their payroll processing platforms may not assign one.
Enter the wages from box 1 of the W-2 into box 1 on the W-2 window. Enter the federal tax withheld from box 2 of the W-2 into box 2 on the W-2 window. If the wages in box 1 are the same as in box 3 and box 5, press ENTER to move past those boxes and the wages and taxes withheld will fill in automatically.

Box 12. For taxpayers who have contributed to a 401(K), IRA, etc., enter the codes and amounts from box 12.
Box 14. Employers may use this box to report information such as state disability insurance taxes withheld, union dues, uniform payments, health insurance premiums deducted, nontaxable income, educational assistance payments, or a member of the clergy’s parsonage allowance and utilities. Railroad employers use this box to report railroad retirement (RRTA) compensation, Tier 1 tax, Tier 2 tax, Medicare tax, and Additional Medicare Tax. Include tips reported by the employee to the employer in railroad retirement (RRTA) compensation. Refer to the state return instructions for additional information.
Box 15. In the state section, enter the state abbreviation code (or select it from the drop down list), and enter the State ID if given. The state wages will fill in automatically based on the federal wages entered in box 1. Edit this amount if the state wages do not match the federal wages in box 1. Next, enter the state tax withheld.
If the W-2 shows any local tax withheld, enter the amount in box 18 along with the name of the locality. Each state that has local withholdings specifies how the locality name should be entered. Be sure to type the locality exactly as it appears on the W-2 to prevent receiving rejects from the state.
If the taxpayer has amounts entered in any other of boxes 7 through 14, select the box by clicking it or by entering the box number in the Option field at the bottom right corner of the W-2 entry window. If the W-2 has an X marked in a check box on line 13, click the appropriate check box in the W-2 window.
Editing and Deleting a Form W-2
To edit a previously entered Form W-2, select Wages, Salaries, Tips from the Income Menu. Highlight the Form W-2 that you want to edit and then select the Edit button, or double-click on the Form W-2 entry. You can change any information previously entered by typing in the number corresponding to the box on the Form W-2 window and selecting the key or by selecting the field with your mouse.
To delete a previously entered Form W-2, select Wages, Salaries, Tips from the Income Menu. Highlight the Form W-2 that you want to delete and select the Delete button. Select YES when asked if you want to delete the selected Form W-2.
