When you begin to create a custom security template, all of the check boxes are checked by default. This article describes the effect of unchecking each check box on the security template.
Note that unchecking a check box generally removes a preparer's ability to use do or see something. For example, unchecking Configuration on the security template list removes the Configuration menu line on that preparer's Main Menu. However, there are a few boxes that when unchecked will add an ability, so be sure to read each description carefully.
Changes to a template take place for an individual assigned the template on their next login.
Access Current Year Client List - If unchecked, the preparer will not be able to view the Client List for the current year.
Access Office - If unchecked, the preparer will not have access to the office.
Access Previous Year's Client List - If unchecked, the preparer will not see the Client List in prior year versions of the office.
Add and Configure Security Templates - If unchecked, the preparer will not be able to change or create Security Templates.
Add or Edit Custom Credits - If unchecked, the preparer will not be able to change or create custom credits.
Add or Edit Office IP Whitelist - If unchecked, the preparer will not have the Configuration menu option Office IP Whitelist.
Add or Edit Print Sets - If unchecked, the preparer will not be able to change or create any print sets.
Add or Edit Tags - If unchecked, the preparer will not be able to change or create custom tags in Configuration.
Add/Edit Fees in Office Configuration - If unchecked, the preparer will not have the Fees option available on their view of the Configuration menu.
Add/Edit Preparers - If unchecked, the preparer will not be able to change or create preparer accounts.
Allow Ability to Clear Signatures - If unchecked, the preparer will not be able to clear any signatures collected on a return.
Assign Preparer's Security Template - If unchecked, the preparer will not be able to assign a security template to a preparer.
Cannot Change Return Status back to In Progress - If unchecked, the preparer will be able to change a return's status.
Change Consent Forms - If unchecked, the preparer will not be able to make any custom edits on consent forms for the office.
Change Questions and Available Answers - If unchecked, the preparer will not have the Custom Questions option available on their view of the Configuration menu.
Change Return Preparer - If unchecked, the preparer will not be able to edit preparer information on the E-file section of any return.
Change Tax Profiles - If unchecked, the preparer will not be able to alter any tax profiles set up for the office.
Configuration - If unchecked, the preparer will not have Configuration available on their view of the Main Menu.
Create Tax Returns - If unchecked, the preparer will not be able to originate any tax returns.
Customer Portal - If unchecked, the preparer will not be able to see or use the Customer Portal function in the program.
Deactivate Return - If unchecked, the preparer will not have the option to deactivate returns using the Tools dropdown menu on the Client List.
Delete Return Notes - If unchecked, the preparer will not be able to delete notes made on any return.
Delete Scanned Documents - If unchecked, the preparer will not be able to delete any scanned documents in the office.
Dismiss/Restore Main Menu Notifications - If unchecked, the preparer will see the Main Menu Notifications as read-only.
Display Imperfect Return - If unchecked, the preparer will not see the option to mark a return imperfect. Marking a return imperfect allows the return to be retransmitted without changing the taxpayer's information after an IRS information match reject.
Do Not Force Return Review - If unchecked, the program will force every return the preparer creates into review upon saving.
Edit and Customize Reporting Display - If unchecked, the preparer will not be able to alter Reports.
Edit Calculated Preparer Fee - If unchecked, the preparer will not be able to alter the prep fee in the E-file section of any return.
Edit E-file Fee - If unchecked, the preparer will not be able to edit any fees on the E-file section of the return.
Edit ERO Setup - If unchecked, the preparer will not have access to ERO Setup.
Edit Maximum Preparer Fee - If unchecked, the preparer will not be able to alter the maximum prep fee on the Fees setup menu.
Edit Minimum Preparer Fee - If unchecked, the preparer will not be able to alter the minimum prep fee on the Fees setup menu.
Edit Office Setup - If unchecked, the preparer will not see Office Setup on the Main Menu.
Email Return - If unchecked, the preparer will not see the option to email on the E-file section of the return.
Hide Accepted Returns from Limited Users - If unchecked, the preparer will see all accepted returns on the Client List.
Import Desktop Returns - If unchecked, the preparer will not see Import Desktop Returns on the Main Menu.
Import eAPI Returns - Applicable to a few offices only.
Mark Return Complete - If unchecked, the preparer will not be able to mark a return complete.
Mark Return for Review - If unchecked, the preparer will not be able to mark any return for review on the e-file page.
Mobile App Import - If unchecked, the preparer will not see the option to Import App Users on the Main Menu.
Override Return Maximum Preparer Fee - If unchecked, the preparer will not be able to override the max prep fee on the e-file section of any return.
Override Return Minimum Preparer Fee - If unchecked, the preparer will not be able to override the minimum fee on the e-file page.
Password Protect Return - If unchecked, the preparer will not be able to set up a password to restrict access to a return.
Print Checks - If unchecked, the preparer will not see Print Checks on the Main Menu.
Print Returns - If unchecked, the preparer will be unable to print returns from the Client List or the Print/Summary page of the return.
Review Returns and Mark Review Decision - If unchecked, the preparer will not see Review Returns option on the Main Menu.
Scanned Documents - If unchecked, the preparer will not have access to scanned documents in the Tools dropdown menu on the Client List.
Send Return to IRS - If unchecked, the preparer will not be able to transmit any return to the IRS.
View Client Status - If unchecked, the preparer will not see Client Status on the left-side menu on the Main Menu.
View Full SSN - If unchecked, the preparer will see the first five digits of Social Security Numbers masked with Xs.
View Mobile App Chat History - If unchecked, the preparer will not be able to view any chats from the mobile app in the office.
View Refund Status - If unchecked, the preparer will not be able to see a return's refund status.
View Reports - If unchecked, the preparer will not see Reports on the Main Menu.
View TaxesToGo Client List - If unchecked, the preparer will not be able to see any Taxes To Go clients in the office.
View/Edit Existing Returns - If unchecked, the preparer will not be able to edit a return in the Client List.
Reminder: Office owners use security templates to keep preparers from accessing certain program features. Those features will not show on the preparer's view of the program. Sometimes preparers call Pro Support for help because their access has been restricted, but the office owner is the one who they need to speak with to have their security template changed.
